Job Description

  1. Support the superior via active involvement in the overall leasing initiatives and activities which may include planning and implementing the tenant mix in the retail mall, tenants’ liaison, budgeting and managing of revenues as well as lease administration to build a strong shopping mall brand that stands out from the competition.
  2. Support the superior in planning the tenancy mix which includes the formulation and implementation of creative and effective leasing strategies.
  3. Handle leasing enquiries and make necessary recommendation of retail space to prospects.
  4. Source for new and potential tenants with good retail concept for retail space in line with the tenant mix planning (new tenants or renewal cases). Identify and short-list suitable tenants and initiate discussions with them.
  5. Organize site visits and inspections for interested tenants or prospects.
  6. Negotiate the lease and finalize rental and other terms and conditions with potential tenants. Ensure tenants’ adhere to the lease terms. Follow up through execution to the opening of store.
  7. Be involved in the malls’ asset enhancement initiatives (AEIs) via active contribution in re-positioning and restructuring of trade mix as well as configuration works that will increase rental yield and further add value to the mall.
  8. Establish and maintain good landlord-tenant relationship. Constantly communicate with tenants to promote positive relations. Resolve any tenants’ concerns and issues soonest possible in interest for betterment of the mall.
  9. Monitor tenants’ business activities to ensure that they are in accordance with the mall regulations. Identify tenants whose business is incompatible with their floor areas and look for acceptable corrective measures.
  10. Identify tenants in difficulty, anticipate and set up plans for tenant’s assistance. Institute addition of new tenants or replacement of underperforming tenants.
  11. Initiate forward planning by monitoring all current and future vacancies to proactively react to future occupancy needs. Analyze concerns associated with retail lots that are slow to lease and propose recommendations to the superior.
  12. Conduct market research on shopping malls in order to keep abreast of retail property developments in the market. Maintain awareness of local market conditions and trends. Contribute ideas to the superiors for improvements.
  13. Liaise with the Finance team on matters pertaining to rental, deposit collection, sales analysis, aging accounts, etc.
  14. Work with the Marcom team and provide input on tenants’ feedback and problems/issues to them so that they can take appropriate initiatives to address the issues. Introduce new tenants to Marcom for any possible collaborations and tie-ups to enhance traffic flow, purchasing power and performance of the mall.
  15. Communicate changes in units leased status to the Operations team. Coordinate with the team to ensure tenants’ renovation or fit-out process is duly completed and according to the schedule opening date.
  16. Prepare and complete relevant lease documentation and paperwork including ISF, ISCF; Letter of Offer, acceptance of rental and security deposits.
  17. Analyze, prepare and compile various management reports, e.g. Budget, Forecast, Monthly and Yearly Rental Variance Analysis Reports, Bi-Monthly Leasing Meeting Reports, ACG Reports, Leasing Quarter Reports, GTO Forecast Reports, Asset Plan, Balanced Score Card (BSC) Updates, etc. for submission to superiors for reviews and verification.
  18. Liaise with tenants and solicitors on issues with regards to the preparation and administration of Tenancy Agreements and lease documentation.
  19. Check and verify the Draft Schedules prepared by solicitors for preparation of Tenancy Agreements (TA).
  20. Liaise with solicitors and tenants to review the terms of lease until the issuance of Tenancy Agreements.
  21. Provide support to superior in other documentation works related to Leasing. Ensure proper documentation and safe keeping of department’s written materials.
  22. Develop and maintain close coordination and productive working relationship between the Leasing Department and other key departments at mall level as well as HQ Office.
  23. Perform any other duties, which may be assigned or directed by the line of report from time to time.

Requirements

-

  1. Diploma, Advanced/Higher/Graduate Diploma, Bachelor’s Degree in Marketing, Business Studies, Estate Management or equivalent.
  2. Minimum of 5 years’ experience (Senior Executive) / 3 years’ experience (Executive) within property sales and marketing environment especially in the leasing of retail lots.
  3. Sound understanding of the real estate industry preferably in shopping complex.
  4. Good working knowledge of Malaysian retail market would be an added advantage.
