Administration Executive

Job Description

-

 

  • To update of the physical files – correspondences, documents, drafts.
  • To attend to scanning and archiving of files to storage boxes.
  • To attend to the opening of new files- physical file, ID on photocopier.
  • To attend to online filing (i.e., converting e-mails & attachments to PDF format for online filing).
  • To prepare the meeting room for guests during signings or meetings.
  • To update calendar (Outlook and physical) on activities/events (firm events, client events, restaurant bookings, restaurant /cafe meetings, work related travel bookings).
  • To liaise with phone supplier (for phone equipment related matters.
  • To liaise with Telekom Malaysia for phone/ internet related matters.
  • To liaise and communicate with despatch and update the online excel sheet.
  • To oversee the purchase of sundries (toilet paper, tissue paper, floor cleaner, glass cleaner, biscuits etc.) and stationeries.
  • To oversee the refills of water tubs for office consumption.
  • To oversee the purchase of books and to update the library list.
  • To oversee purchase of equipment, assets, renovation of office when necessary.
  • To attend to the registration of events when necessary.
  • To attend to booking of flights/ hotels/ meeting venue/restaurant venue when necessary.
  • To attend to incoming phone calls.
  • To attend to the delivery of flower arrangements for funerals or opening ceremony when necessary.
  • To attend to the purchase and delivery arrangements of gifts/hampers during festivals/special occasions.
  • To attend to the renewal of teleconferencing with Telekom.
  • Attending to the procurement of government tender document and submission (with assistance and guidance from the rest of the admin team).

Requirements

  • At least 2 years experience in administration works
